How far in advance should you request a temporary network for your event?

Astro Rent ·
case study

When organising an event, a reliable internet connection is essential for ticketing, communication and live streaming. Requesting a temporary network in time is therefore crucial. Below, we discuss three scenarios and provide our recommendations for request timelines, while also explaining our six-step approach.

1. No existing fixed connection available

If no fixed internet connection is available at the event location, a new connection must be requested from a specialised provider. This process can vary in duration depending on the location and technical feasibility. We recommend contacting us at least two months before the start of the event. This time is needed to assess feasibility, arrange any permits and carry out the installation. Please note that in remote or hard-to-reach areas, the installation may take longer.

2. Existing fixed connection or use of 4G/5G or satellite internet

When a fixed internet connection is already available, or when we can make use of mobile (4G/5G) or satellite connections, a preparation time of approximately four weeks is sufficient. This period allows us to draw up a detailed network plan, configure the necessary equipment and identify and resolve any coverage issues, such as blind spots.

3. Last-minute needs: AstroRent #SOSNetwerk

If your event has already started or is about to begin within a few days/hours and you urgently need a network, AstroRent offers the #SOSNetwerk service. With this service, we can set up an emergency network within 2 to 4 hours. Although this solution offers limited bandwidth and is suitable for specific applications such as ticketing or basic communication, it is an effective way to address unexpected connectivity issues.

6 steps to a successful connection at your event

At AstroRent, we follow a structured approach to ensure that your temporary network perfectly matches your needs:

  1. Intake: We begin with a personal intake to understand your unique needs. Together, we map out your requirements and take the first step towards a network solution that seamlessly fits your event or project.

  2. Design: Using the information from the intake, we design a network specially made for you. Whether it involves 5G, satellite internet or a fixed line, we select the optimal equipment and technology to meet your requirements.

  3. Preparation: Before we arrive on site, we prepare everything down to the last detail. This means that on the day itself, we can work efficiently, resulting in a quick and smooth installation.

  4. Installation: We come on site and install the network as agreed. If necessary, we make adjustments and verify that the installation is functioning properly.

  5. On-site support: During your event, we offer the peace of mind of having an AstroRent team member on site. Throughout the duration of the standby period, we monitor the network and help ensure the event runs smoothly.

  6. Teardown: At the end of the rental period, we take care of a neat and careful teardown of the network. We leave everything as we found it, so you have nothing to worry about.

General recommendation

To minimise risks and ensure the smooth running of your event, we recommend requesting a temporary network at least six weeks ***(eight weeks during the busy summer period) ***before the planned start date. This timeframe provides sufficient room for planning, installation and any troubleshooting. By acting proactively and following our six-step approach, we ensure that all digital aspects of your event run seamlessly.
